Use the role as the starting point

Have the manager describe the work the employee will perform and the systems needed for it. Record the business owner who approves each access request. Avoid copying another employee's permissions without a review of the actual role and current approval process.

Coordinate the arrival details

Confirm the start date, work location, equipment delivery, and any remote setup needs. Identify who prepares devices and who verifies the approved services. Keep passwords and other sensitive information out of ordinary planning documents and use the organization's approved handoff methods.

Check a normal workday

Ask the new employee to complete a few representative tasks with the relevant support contact available. Capture missing access or instructions as assigned follow-up items. Provide a simple explanation of where to request help and who can approve later changes to their setup.
