Turn an equipment delivery into a receiving checklist

Confirm what arrived and what remains unresolved before a delivery becomes an installation delay.

A shipment marked delivered does not establish that the project has every item it needs. Equipment may arrive in separate boxes, with accessories ordered elsewhere or with a substitution still under review. A receiving checklist connects the delivery to the approved equipment schedule.

Check against the agreed list

Identify the expected item, quantity, destination, and person responsible for receiving it. Record visible damage, missing items, and discrepancies through the project's agreed process. Keep the packaging and identification information required by that process.

Do not treat a different model as an accepted substitute merely because it fits in the same rack. Route substitutions to the person authorized to review the technical and commercial implications.

Make storage and release visible

Record where the items are held and who can release them for installation. A delivery to the building may still be inaccessible to the crew working in another area.

Mark equipment that is waiting for configuration, inspection, or another prerequisite. The schedule should show when it is ready for its next activity, not just the day a carrier obtained a delivery signature.

Practical takeaway

Track received, checked, stored, and ready for installation as separate states when the project needs them.
