Keep technology allowances visible during a design review

Give provisional quantities and unresolved system choices a place in the project decisions.

An allowance can be a reasonable way to handle an unresolved technology requirement during planning. It becomes a problem when later readers treat it as a final design decision. Keep the assumption, its basis, and the next review visible together.

Explain what the allowance represents

Identify the space, equipment, or connection need being carried provisionally. Record the source of the assumption and the decision that will replace it. A quantity without that explanation can travel through several documents as if it were confirmed.

Ask the design and estimating teams to explain related dependencies. A change in equipment location may affect more than the item originally covered by the allowance.

Set the resolution point

Name the person who can confirm the requirement and the project activity that needs the answer. Review allowances as the design develops, not only when a price changes.

When the final decision arrives, reconcile the affected drawings, schedules, and commercial records through the agreed change process. Closing an allowance in one spreadsheet is not enough if other teams continue working from the earlier assumption.
