Keep a software entitlement list beside the equipment inventory

Connect physical equipment with the subscriptions and support arrangements it depends on.

An equipment inventory may identify a device without showing the software or service arrangement that supports it. That gap can surface during a renewal, replacement, or change of administrator. Keep entitlement questions close to the equipment record without storing sensitive account credentials in it.

Record the relationship

Identify the equipment or application, the relevant agreement, the account owner, and the person responsible for renewal decisions. Link to the approved contract record rather than copying terms into several spreadsheets.

Ask the supplier to clarify which functions, support rights, or management services are included. Avoid assuming that possession of the hardware establishes every right needed to operate or maintain it.

Use the list before a change

Review entitlement dependencies when equipment moves, users change, or a service provider is replaced. The technical and commercial owners may need to answer different questions before the change can proceed.

Mark uncertain entries as questions for verification. A tidy list of guessed renewal dates or unsupported ownership assumptions is less useful than an incomplete list that clearly identifies what still needs confirmation.
